TransactionFlow is the accounting platform we built in-house. We were done with the yearly price increases from QuickBooks and Xero, so we wrote the tool we wanted: easier for an owner to use than either, and a full replacement, not a lite version. We run every client’s books on it, every day, and we share it with other accounting firms.

Your bank feeds land through Plaid, transactions get coded, and anything we’re not sure about becomes a question in your portal. You answer in a click; we finish the month.

How the switch works

Coming from QuickBooks Online, from another system, or from nothing at all. The path is the same.

    A short call

    We confirm the fit in about twenty minutes: cash-basis books, up to four accounts, and you’re moving to TransactionFlow. If you’re behind or the books need cleanup first, we scope that separately on the same call.

  2. 02

    Read-only bank access

    You grant read-only access to the business checking and credit card accounts and connect them through Plaid. We pull statements ourselves every month. You never email a PDF again.

  3. 03

    The move

    On QuickBooks Online? We bring over your chart of accounts and balances, then you cancel the subscription once you’ve confirmed the numbers. Another system, spreadsheets, or a brand-new business? We set the file up from scratch. Either way, the move is handled as part of onboarding.

  4. 04

    Every month after that

    Accounts reconciled, transactions coded, open items asked in the portal, the month reviewed by a professional accountant. Your profit and loss and balance sheet are in the portal by the 20th of the following month. The monthly fee is charged on the 1st.

Catch-up bookkeeping

Months or years behind is common, and it’s priced by volume, not by panic. Tell us how many accounts and how far back. You get a custom price, a discount on larger backlogs, and a date by which you’re current. Then the first-year rate takes over.

Book cleaning

Books that exist but can’t be trusted need a look before a number. We walk through the file with you one on one, scope the work, and quote it. The Book Cleaning module is priced separately from the special.

Before you call.

Do I need a QuickBooks subscription?

No. Your books are kept in TransactionFlow, which is included in the monthly fee along with the client portal. There is no separate software bill from us or from Intuit.

Who makes TransactionFlow?

We do. PTN Accounting built it in-house, runs every client’s books on it daily, and shares it with other accounting firms. There is no third-party vendor underneath it raising the price on us, or on you. The platform has its own site at omtransactionflow.com.

I’m on QuickBooks Online today. What happens to my data?

We bring your chart of accounts and balances into TransactionFlow during onboarding. Once you’ve confirmed the numbers match, you cancel the QuickBooks subscription. Keep your QuickBooks export for your records; we’ll tell you what to download before you close it.

Can I stay on QuickBooks and still get the first-year rate?

No. The special is only for books kept in TransactionFlow. We don’t provide ongoing bookkeeping in QuickBooks Online or any other software under this offer.

What counts as an account?

Each business checking account and each business credit card counts as one. Four total, in any combination. More than four is a custom quote, not a hard no.

How and when am I charged?

$250 a month, or $350 for an S corporation or partnership, charged automatically on the 1st of each month, in advance, for that month. The engagement is 12 months at the first-year rate. Terms are in the engagement agreement you sign before the first charge.

Why do S corporations and partnerships pay $350?

An S corporation or partnership files its own business return and carries more on the books each month: officer payroll entries from your payroll provider’s reports or partner draws and capital accounts, shareholder or partner basis, and a balance sheet the Form 1120-S or 1065 depends on. Same scope, same software, $100 more a month. Running payroll itself is not part of it; see the next question.

Are tax returns included?

No. The special covers the monthly books. Tax preparation, for the business and for its owners, is offered to bookkeeping clients only and quoted as part of your engagement, so it is never a surprise line. Details are on the tax prep page.

What do I get with Open Mind Ledger?

Full access to the tool for the 12 months of the special, at no charge. Open Mind Ledger is the CFO analytics dashboard we built: cash on hand, runway, margins, forecasts and spending alerts, computed from your own books. On its own it currently costs $648 a year.

What you don’t get under the special is an accountant reading it for you. We don’t review, interpret or advise on the dashboards as part of this offer. If you want that, it’s a separate advisory engagement and we’ll quote it.

Do you run payroll?

No. Payroll runs through ADP, Paychex, Gusto or whichever provider you prefer, and you pay that provider directly. We take their reports and book the payroll journal entries each month, so wages, payroll taxes and officer pay land correctly in your books.

What happens after the first year?

The special covers your first 12 months. Before it ends, we agree on the ongoing rate with you in writing. Nothing changes without your sign-off.

Why read-only access to my bank accounts?

So we can pull statements ourselves and reconcile every account every month without waiting on uploads. Read-only means we can see activity and statements. We cannot move money.

What do I actually get each month?

Every account reconciled, every transaction coded, open questions asked in the portal, and the month reviewed by Peter Nalepa, a professional accountant with 20 years of experience (EA, MS Business Analytics). Your profit and loss and balance sheet are in the portal by the 20th of the following month.

I’m months behind. Can I still get the special?

Yes, for the months ahead. The backlog is quoted separately by volume, with a discount on larger catch-ups. Once you’re current, the first-year rate applies going forward.

What if I’m on accrual basis or have more than four accounts?
